1. Introduction
Welcome to LA VIE Club a Troon-managed facility dedicated to providing an exceptional golf and leisure experience. These Access Policies outline the privileges, responsibilities, and conduct expected of all Access Holders and their guests. By becoming an Access Holder, you agree to abide by the following terms and conditions.
This Access Policy, together with the Access Application Form, constitute a binding contract between the Access Holder and the Club. By submitting an application and activating access privileges, the Access Holder agrees to all terms, policies, and any amendments published by the Club.
1A DEFINITIONS
”Access Holder” means any individual or corporate entity, under any of the categories set out at clause 2, that has submitted a completed Access Application Form which has been approved by Club Management, has paid all applicable fees in full, has had their access privileges activated by the Club, and whose access privileges remain current and have not been suspended or terminated in accordance with these policies.
”Access Package” means the specific category of access privileges purchased by an Access Holder as set out in Clause 2.
”Club” means LA VIE CLUB a golf facility located in LA VIE Club Airport Heights, Muscat 111, Oman managed by Troon Golf.
”Management” means the management team of LA VIE Club or their authorised representatives.
2. Access Holder Categories
Access Holders are available in the following categories (subject to change by Management):
- Individual Access Holder – Unlimited golf access, practice facilities, and clubhouse privileges.
- Midweek Access Holder – Access Sunday through Thursday (excluding public holidays in Oman).
- Junior Access Holder – For juniors below age of 18 years. Junior Access Holders who reach age 18 during their access term must upgrade to an appropriate adult access category at the applicable rate.
- Corporate Access Holder – Designed for companies; includes 2 main holders and 2 wildcards (guest passes) in total and wildcard shall play the same tee time as the main access holder.
- International Access Holder – For non-resident members visiting seasonally.
- Family Access Holder – For 2 adults and 2 children below 18 years old. Proof of family relationship may be required upon application.
- Couple Access Holder – For couples.
- Ambassador Access Holder – For employees of Embassies in the Sultanate of Oman.
Each access category has specific rights, fees, and restrictions as outlined in the current Access Holder fee structure as appended at Schedule 1.
Changes to access categories, benefits, or associated fees shall not adversely affect existing Access Holders during their current paid term. Any modifications will apply prospectively to renewals or new applications only.
3. Eligibility and Application Process
- Access privileges are subject to approval by Club Management.
- Applicants must complete the official Access Application Form and provide the following documentation:
For Individual, Midweek, and International Access Holders:
- Copy of valid passport or Civil ID
- One recent passport-sized photograph (taken within the last 6 months)
For Junior Access Holders:
- Copy of valid passport or Civil ID
- One recent passport-sized photograph (taken within the last 6 months)
- Proof of age (birth certificate or passport showing date of birth)
- Parental/guardian consent form (for applicants under 18)
For Corporate Access Holders:
- Copy of valid commercial registration
- Designation of 2 main holders and up to 2 wildcards with copies of their passports or civil IDs
- One recent passport-sized photograph (taken within the last 6 months) for each designated individual
- Letter of authorisation from the company on official letterhead
For Family Access Holders:
- Copy of valid passport or Civil ID for each family member
- One recent passport-sized photograph (taken within the last 6 months) for each family member
- Proof of family relationship (marriage certificate and birth certificates)
For Couple Access Holders:
- Copy of valid passport or Civil ID for each couple
- One recent passport-sized photograph (taken within the last 6 months) for each couple
- Proof of relationship (marriage certificate or equivalent)
For Ambassador Access Holders:
- Copy of valid diplomatic passport or civil ID
- One recent passport-sized photograph (taken within the last 6 months)
- Letter of confirmation from the Embassy in Sultanate of Oman on official letterhead
The Club reserves the right to request additional documentation to verify eligibility for any access category.
- The Club reserves the right to approve, reject, or withdraw access privileges at its sole discretion. . Whilst the Club is not obligated to provide detailed reasons for rejection, decisions will be made in accordance with the Club’s commitment to maintaining high standards of conduct, protecting the Club’s reputation, and ensuring compatibility with the Club’s values and community.
- Once access privileges have been granted, withdrawal or termination shall be in accordance with Clause 10.
- Access Holders must provide accurate and complete information in their application. Any false or misleading information provided during the application process may result in immediate termination of privileges without refund.
- Access Packages are non-transferable except with the prior written consent of LA Vie Club Management, which may be granted at the Club’s sole discretion. The Club will consider transfer requests in exceptional circumstances, all transfer requests must be submitted in writing with supporting documentation. An administrative fee may apply. The Club’s decision shall be final.
- The Club reserves the right to limit the total number of Access Holders to one hundred (100) in order to maintain course quality and service standards. If a category is fully subscribed, applicants may be placed on a waiting list and offered access when spaces become available. Priority for new access packages shall be given to existing Access Holders wishing to upgrade or change categories.
4. Term, Renewal, Fees and Payment Terms
- Access privileges are granted on an annual basis commencing from the date of activation and expiring twelve (12) months thereafter.
- The Club shall notify Access Holders of renewal terms and fees at least [sixty (60) days] prior to the expiry date via [email or written notice.]
- Access Holders wishing to renew must submit payment in full at least thirty (30) days prior to expiry. Failure to renew by the expiry date will result in automatic termination of all access privileges.
- Renewal is subject to Management approval and compliance with all Club policies. The Club reserves the right to decline renewal at its sole discretion.
- Access Holders wishing not to renew must provide written notice to the Club at least thirty (30) days prior to expiry. Non-renewal does not entitle the Access Holder to any refund of fees paid.
- Upon renewal, Access Holders shall be subject to the fees, terms, and access categories in effect at the time of renewal, which may differ from the previous term.
- All access fees, joining fees, and annual dues are set by Management and reviewed annually. The Management reserves the right to increase fees following this review. Fee increases shall apply to renewals and new applications and shall not affect existing Access Holders during their current paid term. The Club shall notify Access Holders via email of any fee changes at least thirty (30) days prior to implementing such changes.Fees are generally non-refundable under any circumstances, including in cases of resignation, suspension, breach of Club policies or termination. However, the Club may, at its sole discretion, provide a pro-rata refund in exceptional circumstances such as death of an Access Holder or if an Access Holder becomes seriously ill or permanently disabled and is unable to use the facilities in the Club.
- Payments must be made in full prior to activation of access privileges. Payment may be made by bank transfer, cheque, cash, or credit card (in person). Payment details will be provided upon approval of the application.
- Renewal payments are due on or before the expiry date of the access period. Late payments exceeding 30 days from the due date may result in suspension of privileges until settled or termination of access at the Club’s discretion. Late payments may incur interest rate of 6% per month (or the maximum rate permitted by law, whichever is lower), calculated on the outstanding balance until payment is received in full.
5. Access Holder Privileges
Access Holders enjoy benefits based on their category, and such benefits shall be notified to the Access Holders and may be updated from time to time.
6. Guest Access
- Access Holders may invite guests to play, subject to guest green fees and course availability.
- Special rates apply for the guest of Access Holders, as determined by the Club from time to time.
- Guests must be pre-registered and accompanied by the Access Holder unless approved otherwise.
- Access Holders can book their guests via the Application, in person, over the phone, or by email. Guests may also register as walk-ins, subject to availability. Guests must be accompanied by the Access Holder unless approved otherwise.
- Each Access Holder may host up to three (3) guests per tee time, subject to the following conditions. An Access Holder may host a maximum of three (3) guests per day, regardless of the number of rounds played. If an Access Holder plays multiple rounds in one day, the total number of unique guests must not exceed three (3).
- Access Holders are responsible for the behavior and compliance of their guests.
- Access Holders shall be fully responsible and liable for any damage, loss, or injury caused by their guests to Club property or personnel. The Club reserves the right to recover costs or damages resulting from such incidents from the Access Holder.
7. Tee Time Reservations and Play
- Tee times must be booked through the Club’s official reservation channels (Golfscape application) or Pro Shop.
- All players must register and check-in at least 20 minutes prior to the scheduled tee time at the Pro Shop prior to play.
- All Access Holders and guests must comply with the Club’s Dress Code as set out in Clause 9.
- Tee time bookings must be cancelled at least Forty-Eight (48) hours prior to the scheduled tee time. Cancellations can be made via the Golfscape application, in person at the Pro Shop, or by email.
- Late cancellations (less than 24 hours’ notice) or failure to attend a booked tee time without notice may result in a fee and/or suspension or termination of access privileges at the Club’s discretion.
- The Club reserves the right to pair players to maintain pace of play and course efficiency.
- The Club reserves the right to temporarily close or restrict access to the golf course or facilities for maintenance, tournaments, or private events. The Club will use reasonable endeavours to notify Access Holders of such closures. No refunds or extensions will be provided for closures of this nature.
8. Code of Conduct
As a Troon-managed facility, we uphold the highest standards of professionalism and etiquette.
All Access Holders and guests are expected to:
- Treat staff, other players, and guests with respect.
- Refrain from abusive language, intoxication, or disruptive behavior.
- Adhere to course rules, pace-of-play guidelines, and safety procedures.
- Observe designated non-smoking and mobile-free zones.
- Violations of this Code or other Club policies will be reviewed by Management. Disciplinary action may include verbal or written warnings, suspension, or termination of access privileges. The Access Holder shall have the right to submit a written appeal within seven (7) days of receiving a termination notice, and appeals shall be dealt with in accordance with clause 10.
9. Dress Code
Appropriate golf and clubhouse attire is required:
- Men must wear: Collared golf shirts, collared polo shirts, tailored shorts or trousers, and appropriate golf shoes.
- Women must wear: Golf shirts or blouses, skirts, shorts, or trousers designed for golf and appropriate golf shoes.
- Not permitted: Denim of any kind, cargo shorts, sleeveless shirts (for men), flip-flops, sandals, heels or trainers and beachwear or athletic wear not designed for golf
The Club reserves the right to deny course or Club access to any person not in compliance with the dress code in this clause.
Players arriving in inappropriate attire will be asked to change before accessing the course or facilities
Repeated violations may result in disciplinary action in accordance with Clause 8 (Code of Conduct)
The dress code shall apply to all Access Holders and guests.
10. Suspension, Resignation or Termination of Access
Access privileges may be suspended or terminated for any of the following reasons:
- Failure to pay fees or dues on time.
- Violation of Club policies or misconduct.
- Misrepresentation of information in the application.
- Behavior detrimental to the Club or Troon’s reputation.
Prior to termination, the Club shall issue written notice specifying the reason for such action. The Access Holder may submit a written appeal within seven (7) days of receipt to the Club Management to Josh Legge via email at josh@lavie.om
Appeals should include the Access Holder’s name and number, disciplinary action being appealed, grounds for the appeal and any supporting evidence for the appeal.
Appeals will be reviewed by the Operations Manager, at the time, or a manager who was not involved in the original disciplinary decision. A written decision on the appeal will be issued within thirty (30) days of receipt of the appeal and the decision will be final and binding.
During suspension, all access rights and benefits are forfeited until reinstatement. Termination does not entitle the Access Holder to any refund of fees paid.
In cases of alleged gross misconduct or behaviour causing serious reputational harm to the Club or Troon, the Club may immediately suspend access privileges pending investigation by Management.
The Club reserves the right to terminate access immediately in cases of misconduct causing reputational harm to the Club or Troon, subject to confirmation by Management.
Access Holders may resign at any time by providing thirty (30) days written notice to Management. Resignation does not entitle the Access Holder to any refund of fees paid for the current term.
Upon resignation, the Access Holder must immediately return all Club property, settle any outstanding charges, and cease use of all facilities.
Access privileges will terminate on the date specified in the resignation notice or upon expiry of the thirty (30) day notice period, whichever is later.
11. Liability, Risk and Force Majeure
All Access Holders and guests participate and play at their own risk. The Club, its owners, and management will not be held liable for:
- Injury or accidents occurring on the golf course or within Club premises.
- The Club, its owners, and management shall not be liable for any injury, loss, or damage sustained by Access Holders or guests except where such injury, loss, or damage results from the Club’s gross negligence or willful misconduct.
- The Club shall not be liable for failure to provide services due to force majeure events including but not limited to acts of God, pandemics, epidemics, government orders or restrictions, war, terrorism, civil unrest, natural disasters, or other events beyond the Club’s reasonable control. During force majeure events, the Club’s obligations shall be suspended, and no refunds shall be due. If a force majeure event prevents access for more than ninety (90) consecutive days, the Club may, at its sole discretion, extend the access period by a corresponding duration.
12. Amendments
The Club reserves the right to modify access policies, fees, and categories without prior notice. Updated policies will be communicated through official channels and displayed at the Club.
The Club will notify Access Holders of any material amendments via email, official Club notices, or through the Club’s website. All amendments shall take effect upon publication and shall be binding thereafter.
13. Data Privacy
Personal data of Access Holders will be processed and stored in accordance with Royal Decree 6/2022 (the Personal Data Protection Law) and all applicable Regulations for Club administration, access management, payment processing, Troon Advantage participation, and related communication. Data collected includes name, contact details, identification documents, payment information, and usage data. Data to be used for the performance of contract and legitimate interests of the Club.
Data will be retained for the duration of the access relationship and for seven (7) years thereafter. Data may be transferred to International and affiliated entities subject to appropriate safeguards.
Access Holders have the right to access, rectify, erase and restrict processing of their personal data.
The Club may send promotional communications; Access Holders may opt out at any time. To exercise data rights or for enquiries, contact enquiries@lavie.om
By signing the Access Application Form, the Access Holder consents to the processing of their personal data as described above.
14. Governing Law
These policies are governed by the laws of the Sultanate of Oman. Any disputes shall fall under the exclusive jurisdiction of Omani courts.
